Setting up Staff and Teams

We’ve created a more flexible way to manage your teams

Admin team (only one per Recruiter)

  • Admin Full Access: For Business Owners to access all business-related functions, manage users and teams and manage business details

  • Admin Partial Access: For Senior Managers to manage users and teams

Counsellor team (Recruiters can have multiple Counsellor teams)

  • Counsellor Full Access: View and manage all students. Reassign students between counsellors.

  • Counsellor Partial Access: View and edit only the students they are assigned.

Here are some scenarios to show you how these teams might work: 

  • Let’s imagine your business has ten counsellors within the team and you want each to work collectively on the same students →  set them all up with full access

  • If your business has counsellors who work independently →  set them all up with partial access

  • If you operate through multiple offices in different cities →  you probably want multiple Counsellor teams

  • If you are a business owner and you counsel students or want to edit students →  you need to be in both an Admin and a Counsellor team

How to do it 

  • First, add your team members under Settings > Staff

  • Then go to Settings > Teams where you can create teams and add members

Set how you want students to be assigned

  • Under the Assignment tab of a particular team (Settings>Team>Edit Team>Assignment), you can decide how you want students to be assigned to members of the team. 

  • You can Assign New Cases (new students) to anyone in the team, only someone with partial access, only someone with full access or you can send the student to the unassigned student list.  Note that:  'Assign to anyone' is selected by default.

  • You can Assign Existing Cases (existing students) so that they come back to the original person who managed them (Assign to Recently Assigned Member), to anyone in the team, only someone with partial access, only someone with full access or you can send the student to the unassigned student list.  Note that:  'Assign to recently assigned team member' is selected by default.

Notifications

  • After you have set up a staff member, they receive an email notification requesting that they set their password and log in to the platform.
