Self-Processed Visa - Destination Australia

Overview

Please note that Self-Processed Visa for Australia is not applicable to the following source countries:

  • India

  • Sri Lanka

  • Nepal

  • Pakistan

  • Bangladesh

For the above source countries, Adventus must process the student’s visa for Australia. With the exception of some vetted registered migration agents and local legal practitioners, under no circumstances must you lodge a visa on behalf of a student to study in Australia on behalf of Adventus. Failure to comply constitutes a breach of our terms and conditions and can lead to the suspension or termination of your subscription.

For all other countries, selecting the Self-Processed Visa option means you agree to follow Adventus’ verification requirements.

This includes collection and completion of the following which must be provided to Adventus:

  • Accurate, complete and correct documentation - including immigration history and financial metrics

  • Evidence of visa lodgement and visa outcome letter

  • Acknowledgement of sighted genuine document originals

Visa Processing Times

Processing times for visa applications vary depending on the source and destination country and volume of applications made by the source country. Refer to https://immi.homeaffairs.gov.au/visas/getting-a-visa/visa-listing/student-500#About or https://www.vfsglobal.com/australia/.

Visa Fee

Visa Fee Payment

Payment for visa fee applications is made directly through Australia’s visa portal. Only card payments are possible.

Submit GTE and Funding Documents to Adventus for Verification

Upload the set of GTE documents on the Adventus.io platform under the Mandatory Acceptance documents tab. The Adventus team will then review, assess and verify the GTE and funding documents and provide a response to you via message.

There may be two types of messages: one that the GTE is approved by Adventus; and another that more information needs to be provided.

Seek GTE Approval from Institution and Unconditional Offer Letter / Fee Payment Approval

The institution will review and assess the GTE/funding documents and then provide a GTE outcome.  

If the outcome is positive, the Adventus team will request tuition fee payment (usually for one semester but sometimes might be for the whole first year of study).

Payment receipts (and the offer acceptance) need to be uploaded on the Adventus.io platform for the Adventus team to be able to contact the institution to release the (electronic Confirmation of Enrolment (eCOE)

Process Fee Payment to Receive the eCOE

Adventus share the payment receipt and offer acceptance with the institution and the institution issues the eCOE certificate.

The eCOE is usually issued to Adventus, but sometimes it may be sent to your student as well. Once we receive the eCOE we will upload it into Document Manager under 'Offer & Confirmation' documents on the Adventus.io platform. We will message you when this is available to download.

Gather Documents

You will need to collect the following documents from your student:

  • Statement of Purpose

  • Applicant's complete passport copy

  • Academic details

  • English language test results

  • Immigration history

  • Current financial metrics - these details provide important supporting information and must include updated financial information from the student and student sponsor, bank statements and other funding documentation

  • Sponsorship forms - including ID proofs. To prove the relationship with the sponsor, the student needs to provide the FRC (Family Registration Certificate)

  • Electronic Confirmation of Enrolment (eCoE)

  • Overseas Student Health Cover (OHSC) - Your student must obtain OSHC for themselves and any accompanying dependents starting from at least one week before the student's course starts and for the duration of their stay in Australia.

Please ensure that the documents provided as part of the visa application are an exact match to those provided at the application and acceptance stages (i.e. those that were sent to the institution). Discrepancies will not be accepted.

Submit Visa Application and Pay Visa Application Fee

The steps to follow:

1.  Create or log in to ImmiAccount at https://online.immi.gov.au/lusc/login
2. Gather all required documents
3. Attach all documents
4. Pay visa application fee 

You must notify Adventus via message when the visa application has been lodged online and when an outcome has been received. Supporting evidence must be uploaded on the Adventus.io platform for both lodgement and outcome.


As well, after lodgement of applications for Australia, it is mandatory to upload the last page of the e-visa application form that shows the list of documents that have been submitted on the Department of Home Affairs’ portal onto the Adventus.io platform, in the Visa Documents tab.

Download the HAP ID and Undertake Medical Examination

It is recommended that the student undertakes the medical examination before visa lodgement to reduce visa processing time. However, it can be taken after lodgement instead.

If undertaking the medical before applying for the visa, your student can create their Health Assessment Program Identification Number (HAP ID) via their Immi Account. The HAP ID is used to book a medical examination.

If undertaking the medical after applying for the visa and your student has been recognised as requiring a medical examination, the Department of Home Affairs will provide a letter to your student to that affect.

Your student can find their HAP ID in the letter. The letter can be downloaded from their ImmiAccount. The letter will also list the health exams that they are required to undertake and the timeframes within which they must do so.

Medicals are conducted by the International Organisation for Migration (IOM) in each respective country by appointed panel physicians  Online registration is usually available and you can obtain the forms from the relevant country IOM website.

The medical and biometrics must be obtained after lodging the application and then uploaded to the Immi account portal before an outcome can be received. Please refer to the following link for assistance: https://immi.homeaffairs.gov.au/help-support/contact-us/offices-and-locations/list.

Obtain Biometrics

The biometrics must be obtained after lodging the application and then uploaded to the Immi account portal before an outcome can be received.

Please note: Some countries do not require biometric collection. Please check the following website to determine if biometrics are required for your student’s country: https://immi.homeaffairs.gov.au/help-support/meeting-our-requirements/biometrics

Your student will receive a letter and will also be able to see this request in their ImmiAccount. They will be given 14 days to provide biometrics so it is important to arrange an appointment quickly using the instructions in the request letter.

Your student must provide biometrics before travelling to Australia.

Obtain biometrics results from the relevant country’s Visa Collection Centre. Biometric information collection involves a digital fingerprint scan and a digital photograph. The results must be included with the visa application and uploaded onto the Adventus.io platform.

Await Visa Decision - Grant Letter / Visa Finalisation (Denial)

Your student will be advised in writing of the decision about their visa application. Your student will be given:

  • their visa grant number

  • the date their visa expires

  • their visa conditions

Your student will need to keep a copy of the decision with them when in Australia.

If your student’s visa is refused this will be advised in writing. The reason for the refusal will be given and your student will be advised if they have a right to a review of the decision.

The application charge is not refundable if the visa application is refused.

Please note: If there is a delay in visa processing you will need to advise Adventus so that we can liaise with the institution and in case the student wishes to defer to another intake.

Advise Adventus of Visa Decision

Upload the Visa decision letter into the Adventus platform in Document Manager, under Additional Visa Documents.
